Alumni Relations plays an important role in supporting the alumni
engagement and fundraising initiatives of the University of Miami
Miller School of Medicine focusing on Medical Alumni and Medical
Education. This position works with the Executive Director of
Development and the Sr. Director Development, Medical Education to
execute development and stewardship activities designed to
establish donor and alumni connections with the institution and
help deepen engagement and foster an environment that leads to
philanthropic gifts. In support of those activities, the Associate
Director may communicate with the President's office, Dean's
office, trustees, VIP prospects and donors, School of Medicine
department chairpersons, faculty, and research staff. This position
will play a key role in donor relations and administrative support.
The Associate Director, Alumni Relations will also be expected to
solve problems and participate in a full range of tasks
implementing appropriate solutions in compliance with the
University's policies and procedures.Essential
Responsibilities:
- Develop annual strategic plan to build affinity and increase
engagement and philanthropic giving with Miller medical alumni
among our growing network of graduates.
- Work with Strategic Events to plan and implement Miller
School's major annual alumni events including but not limited to
Medical Alumni Weekend, and regional alumni events.
- Create overall Class Campaign annual plan, including overall
annual calendar and focus of standardization across the alumni
program and reunion programming.
- Create, implement, coordinate, and analyze results of reunion
activities that include solicitations by print and email for alumni
class members of reunion years.
- Plan and implement regional alumni programming centered around
national conferences and concentrated alumni locales.
- Travel to serve as the onsite Alumni Relations liaison at
alumni engagement events, professional gatherings or university
events. -
- Track and report on event participation and effectiveness to
inform future planning decisions made by Alumni Relations and
Medical Development leadership.
- Participate in Digital Engagement and Philanthropic Giving
planning meetings to understand broader marketing strategies and
recommend integrated social media tactics to support giving and
engagement. Collaborate within the team to deliver cohesive
strategies aligned with goals.
- Lead research and discovery efforts to identify current alumni
donors with potential to elevate their giving.
- Work with the Medical Development Communications team to create
a communications plan and launch an Alumni Newsletter to engage and
steward donors meaningfully and increase giving levels.
- When necessary, contacts prospects/donors to verify biographic
and gift related information.
- Assists development officer(s) to ensure donors are regularly
communicated with and move through the gift cycle by tracking
interactions and documenting them in i-BIS throughout the
cultivation, solicitation, and stewardship process.
- Assists with pledge payments and outstanding pledges by
communicating with donors regularly to ensure they are up to date
with their payment schedules.
- Utilizes i-BIS and other University systems to update and
extract constituent information in accordance with i-BIS training
and policies and procedures.
- Attend meetings and appropriate training sessions for Division
of Development and Alumni Relations.
- Answer phones and provide general office support including
scheduling, and processing of financial transactions such as
mileage and business reimbursements. This list of duties and

necessary.Qualifications: - Bachelor's degree with a minimum of
five years of relevant experience. Equivalent combination of
education and experience may be considered. - Must be
solution-oriented, highly organized, and able to work independently
to successfully complete projects on deadline. Excellent command of
the English language, both oral and written with a high level of
creativity, attention to detail and superior customer service
skills. Proficient in Microsoft Office applications (i.e. Microsoft
Word, Excel, and Outlook). Must have initiative mixed with good,
sound judgment, and a high level of discretion to handle sensitive
information. Must be able to handle multiple projects
simultaneously and work in a dynamic team environment across
